We are looking for an Administrative Assistant/ Receptionist

Overview:

  • Location:  Des Moines and/or Ankeny, Iowa

  • Monday-Friday 8:00AM-5:00PM, Saturday 9:00 am – Noon (Rotating Schedule)

Job Description:

As an Administrative Assistant/Receptionist professional, you are the first person to greet patients as they walk into our clinic. Primary duties will include check-in and check-out process for our patients, assisting with scheduling, answering phones, processing co-payments/balances, scanning, faxing, and emailing clients while following company guidelines and expectations. Customer service is a top priority in this role.  We are looking for someone who works well with others, is compassionate for our clientele and shows kindness, always.  Reliability and professionalism are assets in this position.

Responsibilities:

  • Greets patients with professionalism/compassion
  • Pushes online check-ins to all patients prior to the appointment (daily)
  • Verification of documents/signatures on all forms pertinent to the patient’s current visit from the patient or family member who has authority to sign on behalf of the patient through our electronic software
  • Verification of insurance eligibility and benefits via insurance websites
  • Collection and scan insurance cards and other important documents to the patient chart
  • Adhere to all confidentiality policies and procedures
  • Answers telephone calls promptly and accurately, forwards messages and directs calls in an appropriate and professional manner
  • Scans medical correspondence, reports, and miscellaneous items, as requested
  • Communicates patient’s needs to medical team
  • Communicates updates regarding insurance to our billing team
  • Collects copayments/coinsurance and payments on account balances
  • Demonstrates initiatives to improve quality and customer service by striving to exceed customer expectations
  • Open and/or closes the clinic following specific guidelines of the individual clinic
  • Ability to learn quickly, follow processes/procedures and willing to accept constructive feedback to ensure the needs of the patient and company are being fulfilled
  • Self-Motivated

  • Maintain confidentiality and adherence to HIPAA guidelines
  • Ability to lift 25 pounds

Qualifications:

  • High School Degree or Vocational School Graduate
  • Willingness to learn and adapt
  • Positive attitude

Experience:

  • Previous medical office experience preferred, but not required
  • Strong customer service skills
  • Insurance eligibility and verification
  • Confidentiality and HIPAA guidelines
  • Excellent computer skills and abilities (Proficient in Microsoft Office)
  • Multi-phone line experience
  • Ability to understand and apply guidelines, policies, and procedures
  • Strong inter-personable skills to interact with physicians, healthcare team members, patients, and support systems
  • Attention to detail
  • Effective communication skills
  • Customer and patient-focused
  • Medical terminology background a plus
